01Who we are

Rootegra is operated by Rootegra LLC, a limited liability company in Hawaii, United States. This policy covers the Rootegra platform: the websites at rootegra.com, pro.rootegra.com, care.rootegra.com, and academy.rootegra.com, and the Rootegra iOS app.

02Two kinds of people, two roles

Salons use Rootegra to serve their own clients. That means client information in Rootegra — appointment history, photos, care notes — belongs to the salon's relationship with its client. The salon decides what goes in; Rootegra stores and processes it on the salon's behalf. For your own account information (your login, your profile), Rootegra is responsible directly.

03What we collect

• Account data. Name, email address, phone number, and role (salon owner, stylist, educator, apprentice, or client) for everyone with a Rootegra account. One account can hold several roles.
• Appointment and service records. Bookings, services performed, visit notes, care plans, and checkout records — the working history of the salon.
• Client photos. Salons may photograph work (for example, before-and-after extension placements) and store those photos with the client's record. The salon is responsible for getting the client's consent before taking and storing photos. Photos live in access-controlled storage and are visible only to the client's salon and the client.
• Payment information. Payments are processed by Stripe. Card numbers go directly to Stripe; Rootegra never stores full card numbers. We keep the records around a payment — amount, date, service, tip, and Stripe's reference identifiers. Rootegra uses Stripe Connect, which means your salon is the merchant: client payments settle to the salon's own Stripe account, not to ours.
• Messages. Appointment reminders, booking confirmations, payment links, and similar service messages sent by email (via Resend) — and, once text messaging launches, by text (via Telnyx) — plus the delivery records for those messages.
• Location — optional, staff only. Salons can turn on geofenced clock-in, which confirms a staff member is at the salon when they clock in or out. This feature is off by default, applies only to staff and apprentices (never clients), and each person controls the app's location permission in iOS Settings at any time. Location is used to check presence inside the salon's geofence for time records; we do not build movement histories or use location for advertising.
• Hour logs. Clock-in and clock-out times and apprenticeship hour totals, kept as the salon's training and payroll records.
• Waitlist emails. If you join the waitlist on rootegra.com, we store the email address you give us and use it only to tell you when seats open.
• Technical basics. Standard server logs (IP address, browser type, timestamps) kept for security and troubleshooting.

04What we don't do

05Text messages (SMS)

Text messaging is a planned Rootegra feature. Today, service messages go out by email; appointment reminders can also land on your calendar as invitations. When text messaging launches, Rootegra will send transactional texts on behalf of salons — appointment reminders, booking confirmations, payment links, and similar service notices. By providing a mobile number and agreeing to receive texts from your salon, you consent to these messages.

• Reply STOP at any time to opt out of texts. Reply HELP for help.
• Message frequency varies with your appointments. Message and data rates may apply.
• Texts will be delivered through Telnyx, our SMS provider. Opting out of texts does not affect your appointments or your account.

06Cookies

Rootegra uses cookies only to keep you signed in. One of them is a session cookie set on the .rootegra.com domain so a single sign-in works across Rootegra's sites (Pro, Care, Academy) without entering your password on each one. There are no advertising or cross-site tracking cookies, so there is no cookie banner — there's nothing to opt out of.

07Who we share information with

We share personal information only with the service providers that run the platform (below), with your salon (which sees its own clients' and staff's records — that's the product), and where the law requires it.

Each provider handles data under its own security and privacy commitments, and only to provide its service to us. If Rootegra LLC is ever part of a merger or sale, personal information would transfer with the business and this policy would continue to apply until replaced with notice.

08How long we keep things

Account data, appointment records, photos, and hour logs are kept for as long as the account or the salon relationship is active — they are the salon's working records. Payment records are kept as long as bookkeeping and tax rules require. Server logs are kept briefly and rotated. When an account or a salon is deleted, associated personal data is deleted or de-identified within a reasonable period, except where we're legally required to retain specific records (for example, financial records).

09Your choices and deletion

• Access and correction. You can see and edit your own profile in the app or on the web. Clients can ask their salon to correct visit records.
• Delete your account. You can delete your account from within the app's settings, or email [email protected] from the address on the account and we'll handle it.
• Texts: reply STOP. Location: turn off the app's location permission in iOS Settings. Waitlist: reply to any message from us and ask to be removed.

Depending on where you live, you may have additional legal rights over your personal information (such as access, portability, or deletion rights). Write to us and we'll honor them.

10Security

All traffic to Rootegra is encrypted in transit. Data is stored with access controls that limit each salon to its own records and each person to their own role's view. No system is perfect; if a breach ever affects your personal information, we will notify you as the law requires.

11Children

Rootegra is a tool for salon professionals and their clients. It is not directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we'll delete it.

12Where this is governed

Rootegra LLC operates from Hawaii, United States, and this policy is governed by the laws of the State of Hawaii and applicable U.S. federal law. If you use Rootegra from elsewhere, you understand your information is processed in the United States.

13Changes to this policy

When we change this policy in a meaningful way, we'll update the effective date at the top and tell account holders by email or in the app before the change takes effect. Small clarifications may be posted without separate notice.
